Privacy Policy
1. Who this policy covers
This Privacy Policy explains how Ash Money Mentor ("I", "me", "my") handles personal information collected through AshMoneyMentor.com, its calculators, contact and report forms, email and text communications, and my business pages on social media (together, the "Online Services"). It follows Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and the privacy rules that apply to licensed financial professionals in Ontario.
It does not cover other websites or apps that I link to, information that has been de-identified so it can no longer be linked to you, or the way an insurance company handles information once you apply to it. Insurers and other product providers have their own privacy policies, and I will point you to them when you apply for a product.
2. Who is responsible for your information
I am responsible for personal information in my custody or control, including information I pass to service providers who help me run my business. I act as my own Privacy Officer. You can reach me using the details in section 16.
3. What I collect
Information you give me. For example, when you fill in a form, request a report, book a consultation, subscribe to updates, message me, or speak with me, I may collect:
- your name, email address, phone number and how you prefer to be contacted;
- the topic or service you are interested in (including which service or topic tile on the website you clicked), and the message you write;
- the figures you enter into a calculator if you choose to download a report (see section 8);
- your choice about whether I may contact you; and
- if you become a client, the details needed to assess your needs and arrange products, such as date of birth, family and employment details, income, assets, debts, goals, and in some cases health information. I collect this only directly from you or from people you authorize, and only when needed.
Please do not send your Social Insurance Number, bank or card numbers, passwords, or medical details through the website, social media, text or ordinary email. If this information is needed, I will explain a secure way to provide it.
Information collected automatically. Like most websites, this site may record technical information such as your IP address, browser and device type, pages viewed, the date and time of your visit, the website that referred you, and how you interact with pages. This is described further in section 7.
Information from other sources. I collect information about you from others only with your consent or where the law permits. For example, an insurer may share information with me about an application you made through me.
4. Why I collect and use it
I use personal information to:
- respond to your questions and requests and arrange consultations;
- send the reports, tools or updates you ask for;
- understand your needs so that anything I discuss or recommend is suitable for you;
- help you apply for and manage insurance products you choose, including sharing information with the insurer, as explained in section 6;
- verify your identity, prevent fraud and meet legal, regulatory, record-keeping and anti-money-laundering obligations;
- keep the website secure and understand, in general terms, which topics are useful so I can improve it;
- send you educational content or news if you have agreed to receive it; and
- protect my business and respond to complaints, disputes or regulator requests.
I will tell you if I want to use your information for a new purpose, and I will ask for your consent where the law requires it.
5. Your consent and your choices
I rely on your consent. Depending on the situation, that consent may be express (for example, ticking a box or telling me yes) or implied (for example, when you send an enquiry and expect a reply). Sensitive information, such as health information, is collected only with your express consent.
Forms on this site ask whether I may contact you about your enquiry or report. If you choose "no", I will deliver what you asked for and will not follow up with marketing. You can withdraw consent, or ask me to stop sending messages, at any time by emailing or calling me, or by using the unsubscribe link in any email. Withdrawing consent may mean I cannot provide some services. Messages I send comply with Canada's Anti-Spam Legislation (CASL), and every commercial message will identify me and include a way to opt out.
6. Who I share it with
I do not sell your personal information. I share it only as needed and only with:
- Insurers and product providers. If you ask me to obtain a quote or apply for a product, I share the information needed with the insurer and, where applicable, with the licensed insurance agency and any underwriting or administration staff who support my business.
- Service providers. Companies that help me operate, such as website hosting, email delivery, scheduling, document storage, security, accounting and technology providers. They may use your information only to provide services to me and must protect it.
- Regulators, courts and authorities. For example, the Financial Services Regulatory Authority of Ontario (FSRA), or in response to a lawful request, subpoena or court order, or as required by law.
- Professional service providers. My lawyers, accountants and insurers (including my errors and omissions insurer) where reasonably necessary.
- A successor business. If my business is sold or transferred, with confidentiality protections in place.
- Anyone else you authorize. For example, your accountant or lawyer, but only when you tell me to.
7. Cookies and similar technology
Cookies are small files stored on your device. This website uses cookies and similar technology that are needed for it to work, for security, and to remember simple choices. If I use analytics or advertising tools, I will list them here, explain what they do, and give you a way to decline non-essential ones before they run.
You can block or delete cookies in your browser settings, though some features may then not work properly. Your browser's "Do Not Track" or Global Privacy Control signal will be treated as a request to decline optional tracking where I use it.
When you click a service or topic on the site (for example, "Retirement income") and then send a message, I record that topic with your enquiry so I can reply helpfully. This does not follow you around other websites.
This site loads fonts from Google Fonts. Doing so sends your IP address and browser details to Google, subject to Google's own privacy policy.
8. Calculators and downloadable reports
The figures you type into a calculator are processed in your browser to show you results and charts. They are sent to me only if you choose to download a report and submit the form. In that case I receive your name, email address, your contact preference, and a summary of the figures and results so I can understand your question and follow up if you said I may. Do not enter anything you consider confidential, such as account numbers.
9. Social media and other websites
My business pages on Facebook, LinkedIn, Instagram and similar platforms are run by those companies, which collect their own data under their own privacy policies. If you comment, like, follow or message me there, the platform and the public may see that activity. Please do not post personal or financial details in comments or direct messages. Links to government and other third-party websites are provided for convenience. I do not control those sites and am not responsible for their privacy practices or content.
10. Where your information is stored
My website host, email provider and other service providers may store or process information on servers outside Ontario or outside Canada. While your information is in another country, it is subject to the laws of that country, which may allow courts, law enforcement or other authorities to access it. If you would like more detail about where your information is processed, contact me.
11. How I protect it
I use reasonable safeguards appropriate to the sensitivity of the information, such as access controls, password protection, encryption in transit, and limiting access to people who need it. Despite these measures, no website, network or method of storage is completely secure, and I cannot guarantee the security of information sent over the internet. If a breach involves a real risk of significant harm to you, I will notify you and the Office of the Privacy Commissioner of Canada as required by law.
12. How long I keep it
I keep personal information only as long as needed for the purposes described above or as the law requires. As a general guide, enquiries that do not lead to a client relationship are deleted after about two years, and client records are kept for the period required by insurance and tax rules, commonly up to seven years after our relationship ends. When information is no longer needed, I securely delete or de-identify it.
13. Your privacy rights
You may ask me to:
- tell you what personal information I hold about you and how it is used and shared, and give you a copy;
- correct information that is inaccurate or incomplete;
- withdraw your consent or stop contacting you, subject to legal and contractual limits; and
- explain my privacy practices or answer a concern.
I will respond within 30 days, may need to confirm your identity first, and will explain if I cannot fully meet a request (for example, where the law requires me to keep a record). I do not use automated decision-making that affects you without human involvement.
14. Children
The Online Services are intended for adults and are not directed to children. I do not knowingly collect personal information from anyone under the age of 13. Where a parent or guardian shares information about a child, for example for education savings planning, I treat it as the parent's or guardian's information.
15. Changes to this policy
I may update this policy from time to time. The effective date at the top shows when it was last changed. If a change is significant, I will highlight it on the website. Continuing to use the Online Services after an update means you accept the updated policy, except where the law requires me to ask for your consent again.
16. Contact and complaints
Questions, requests or concerns about privacy can be sent to my Privacy Officer:
